A second brain you will use

A second brain fails when capture has five inboxes and no weekly review. Use one inbox, a small set of folders, and a rule for what gets turned into a finished note.

People do not fail at note-taking because they chose the wrong app. They fail because every article lands in a different place, and nothing is rewritten in their own words.

One inbox

Pick a single capture point: one inbox note, one read-later app, or the share sheet into one folder. Browser bookmarks, chat stars, and three cloud drives are three systems. You will not search all of them.

Once a week, empty the inbox. Each item becomes a project note, a reference you might cite, or trash. If you cannot say which, it is trash.

PARA-style folders and “one folder per project” both work. Do not run both. The test is whether a teammate can find last month’s decision in under a minute.

Rewrite, then stop

A highlight is not a note. A note says what you will do with the idea, in a sentence you wrote. Models can summarize a PDF into that sentence, but you still delete the lines you do not believe. Store the summary next to the source link so you can check it.

Tool choice is secondary. If the team already lives in one docs product, use that. Switching apps is the usual way a second brain dies. For how a small team should limit tools, see A toolchain for teams of 3 to 10.

FAQ

Which notes app is required?
None. The habit matters more than the brand. Pick a tool you will open daily, and stop adding a second inbox.
Should every bookmark become a note?
No. Capture is cheap. Writing a note in your own words is the filter. If you will not rewrite it, leave the link in the inbox until you do.
How often do you review?
Once a week, on a calendar hold. Empty the inbox into projects or into the trash. An inbox you never empty is just another bookmark folder.
